How to Send Reminders to People Who Haven't Accepted a Calendar Invite
You can nudge non-responders by hand in Google Calendar or Outlook — or set it up once and let reminders go out automatically. Here's both, step by step.
Most meeting invites get answered. It's the silent few who never click Accept or Decline that create the headache — you walk into the meeting unsure who's actually coming. Both Google Calendar and Microsoft Outlook show you each attendee's response status, but neither has a built-in way to automatically remind only the people who haven't responded. Here's how to handle it in each, and how to stop doing it by hand.
The manual way
In Google Calendar / Google Workspace
GGoogle Calendar
Open the event in Google Calendar.
Look at the Guests list — each guest shows Yes, No, Maybe, or no response (Awaiting).
Click the Email guests (envelope) icon.
Uncheck the guests who already responded so you're only writing to the non-responders, add a short note asking them to confirm, and send.
The catch: you have to do this for every event, every time, and manually deselect the people who already replied. There's no way to schedule it, and nothing stops once someone responds — so the next reminder is on you to remember.
The manual way
In Microsoft Outlook / Microsoft 365
OMicrosoft Outlook
Open the meeting you organized from your calendar.
Open the Tracking view to see who has Accepted, Declined, or not responded.
Note the attendees with no response, then email those people directly (or use Reply All and remove the ones who confirmed) to ask them to RSVP.
The catch: Tracking shows you the status, but Microsoft 365 won't send a reminder to only the non-responders for you. It's a manual check-and-email each time, and there's no scheduled follow-up at 48 or 24 hours before the meeting.
The automatic way
Let CalNudge remind the non-responders for you
CalNudge connects to your Google Calendar or Outlook and watches the meetings you organize. When attendees haven't responded, it sends polite reminders on your behalf — and only to them.
✓Targets only the silent ones. Reminders go to attendees who haven't responded — never to people who already accepted or declined.
✓Stops automatically on response. The moment someone accepts or declines, their reminders stop.
✓Sends on a schedule. Default reminders go out 7 days, 48 hours, 24 hours, and 6 hours before — or set your own custom cadence.
✓Sounds like you. Pick a tone — Polite, Firm, Casual, or Formal — so the nudge matches your voice.
✓Works with both. Google Calendar / Google Workspace and Microsoft Outlook / Microsoft 365. About 12 seconds to set up.
One CalNudge customer saw their kept-appointment rate go from 68% to 91% after turning on automatic reminders. See how teams use it for sales, recruiting, and client meetings — or estimate your own savings with the no-show cost calculator.

Frequently asked questions
Reminders for unanswered invites: FAQ
Can Google Calendar automatically remind people who haven't responded?
Not on its own. Google Calendar shows you each guest's RSVP status and lets you manually email guests, but there's no built-in setting to automatically send a reminder only to the attendees who haven't accepted. You'd have to open each event and email the non-responders yourself, every time.
Can Outlook send reminders to attendees who haven't accepted?
Outlook's Tracking view lets you see who has and hasn't responded, and you can manually email or resend the invite. But like Google Calendar, Microsoft 365 has no native option to automatically nudge only the people who haven't replied on a schedule — it's a manual task each time.
How do I remind only the people who haven't accepted?
Manually, you open the event, check the response status, and email just the non-responders. To do it automatically, CalNudge watches your Google Calendar or Outlook for invites with unanswered RSVPs and sends polite reminders only to those attendees — never to people who already accepted or declined.
Will reminders annoy people who already accepted?
No. The whole point is targeting only the silent ones. CalNudge sends reminders solely to attendees who haven't responded, and it stops the moment someone accepts or declines — so confirmed guests never get pinged.
Does this work with Google Workspace and Microsoft 365?
Yes. CalNudge connects to both Google Calendar (including Google Workspace) and Microsoft Outlook (via Microsoft 365 / Office 365). Setup takes about 12 seconds — connect your calendar with one click and CalNudge handles the rest.
